Endurance Clinic
We discussed directions to Liz Dagnall’s ranch as west on Lincoln Rd, just passed mile marker 14 and across the road (south) from the Canyon Creek Store. Liz reported that the 4-H club would provide lunch and concessions as a fund raiser for their club. We need tables. A-1 Rentals had previously provided tables as a donation to the club. It was decided that there would be slots for 15 horses with unlimited auditors, $40 for horses/riders, and $20 to audit. We discussed providing a handout that would be a checklist for holds that was from AREC. We also discussed providing vet cards and an information packet geared to new people and aimed at trying to pull in people who don’t know where to start or what to expect with a vet check. Amy agreed to do a flyer. Anne agreed to bring examples. We discussed the need to set up on Friday night before the clinic. We discussed posting the flyer on the club website and advertising or providing information for the event calendar in Bozeman’s Rocky Mountain Rider. It was agreed to provide Drin’s contact information. Drin provided a rough outline of an entry form and Sheri agreed to develop the form. Amy discussed the need for a waiver of liability and said it could be included on the form. Amy said the form could be provided on the website. It was decided that there would be no unaccompanied minors under 18 yrs of age without a sponsor if the minor was also a rider with a horse. We agreed that the 4-H kids could audit for free. We agree that the trail ride would be 2 to 3 hours, but no camping over night. Drin said she would bring a sample packet for the next meeting. We discussed that at future meetings we would review the minutes from the previous meeting.
Web site
We discussed the web host, which has e-mail accounts. IX web hosting is the provider and the club paid $50 for the year, plus the e-mail accounts. Amy said she thought WORD or PDF files could be posted to the web site. Regional AHA Show.
Amy reported that $5,000 was available in grant money for clubs within the region to request by June 1st. The grant money would be provided as reimbursement after the event. The amounts available were $300 for a community show, $200 for a local ride, and $100 for a horse expo. We discussed whether the ride clinic would qualify as one of these events. Amy reported that the club account balance was $1,800.
Membership
We discussed AHA membership and noted that the AHA website has a membership guide available. It was generally understood that a person could join the club without joining AHA, but the club had not yet set a policy on that. We discussed what policy should be set. We discussed a $10 fee for club membership if the person was an AHA member and a $15 fee if the person was not a club member. Family membership was discussed and it was decided that further research into AHA membership policies were needed. Amy discussed perhaps sending a personal letter to all club members to remind them of their AHA membership expiration and need to renew. There were questions about why a person should be an AHA member or a club member. We discussed the benefits of the club’s distance program, the fellowship provided, how the member fees were important to help sustain club operating costs so it could sponsor clinics and rides and other events, that club members have a say and can vote in setting club policies and in the decisionmaking process, networking and the support the club can offer to individuals in return for the individual’s support. We talked about providing everyone with a membership list with contact information to encourage more networking and perhaps carpooling to rides. We also discussed adding a discussion board or blog to the website and classified ads free for club members. Club Distance Program. Drin discussed the club distance program and about providing 1 point per mile completed. At the club Christmas party, there had been discussion that the top 3 people would get the awards. Drin reported that there were 6 entries so far at $10 per entry, which was money that was going to be put toward prizes and not into the club’s account balance.
Pioneer Cabin Ride
We discussed the prizes for the Pioneer Cabin Ride and the Bobbi had seen pot holders made from fabric with horse prints and that they could be considered for completion awards. Amy reported that we had 15 rump rugs left that could be used for the Top 10 on the 50 mile ride, 10 Pioneer Lucy’s, which could be for the Top 5 on the 75-mile ride or for the Top 10 on the Sunday 50-mile ride. It was agreed that the club would order 20 more of the Pioneer Lucy’s and that we would put a special logo on the spinner at the bottom. It was also agreed that the Volunteers would get T-Shirts and the 25 milers would also get T-Shirts for the top 10, and that the T-Shirts could be sponsored by Valley Bank. It was also agreed that completion awards would be a deck of cards with the ride logo, provided by Montana Marketing. Juli reported that the Forest Service permit had been submitted, AERC had approved the ride for September 13th and 14th , that the PNER, NW region would sanction the ride, that the AHA fees had been paid so that the ride will also be an AHA-recognized ride, which allows Sweepstakes money to be paid out. Juli also reported that the club had permission to use Barrett Road to come into ride camp through the feed/hay lot. Anne discussed the need for a dedicated person to be in charge of the Time Out and Time In. Having a vet check in camp and one out of camp was also discussed. The need to get the vets confirmed was discussed. Sheri agreed to contact James and to let him know how he could become AERC certified. The need for a tent set-up crew was discussed as well as the need for help unloading 50-pound bags of salt, which would be coming up the night before the ride. Drin discussed other prizes, such as a VetTec Equi Pac as the Best Condition award. Amy also mentioned a Valley Bank sponsorship donation of $300, but that we didn’t have blankets on which to put their logo.
