NEXT MEETING -- Sept 2nd at Ellen Taylor's - 2740 Lincoln Rd Helena 6:30pm
- (1) Spring Thaw Horse Show
- Trail design was discussed. Potential items available are Rails, Barrels, Bridge, Buckets, Slicker, Circle, and Cones.
- Sheri can bring two tables.
- Amy will try to get 6 tables from the humane society.
- Juli and Amy will make chili. The chili will be free but donations will be solicited. Sheri's daughter will help out at the concession stand and sell lemonade and cookies to raise money for victims of the Virginia Tech shooting. Barb has pop to donate. Sheri will pick up hot dogs and buns on friday. Bobbi and Mark will bring a big cooler. Juli will bring ice. Liz will pick up pop and put in coolers.
- Tack Sale and Silent Auction
- Anne will get blank tags to put on tack sale items.
- It was agreed that people need to pick up unsold items after 3pm on Sunday.
- We need a release form for the tack sale.
- We will collect the money for the tack, take our percentage and send the money for each item to the owner by the end of the week.
- Silent auction items are donated to the club.
- The silent auction ends at 3pm Sunday.
- Job Duties
- Liz will be the backup announcer, manager, backup Ring Steward&Scorekeeper
- Suzan will help generally
- Sheri will help generally
- Juli, Anne and Bobbi will run the tack sale, silent auction, and help out with concession stand.
- Sheri will find a person to be the Ring Steward&Scorekeeper
- Ellen will do registration and score tabulation.
- Amy will be the gatekeeper
- We need 3 money boxes. Suzan can get one, Mark will bring a couple of coffee cans.
- Liz will get a bullhorn.
- Bobbi will get change. Prices for everything will be kept to an even dollar to minimize change needs.
- Mark will bring a calculator.
- (2) Pioneer Cabin Trail Ride
- Jim will ask a friend for tents.
- Amy will get two people for PR's
- Ann requires her students to do volunteer work animal related activities. She will recommend they volunteer at the ride.
- It was suggested that local auto dealers may donate a truck to help carry water tanks.
- Juli has water tanks.
- Juli will arrange to buy weed free hay for sale at the ride.
- Sheri will do PR's at the ride.
- We need 2 large tents for the ride.
- We need gazebo tents. Amy may have two.
- We have been promised donations of Miscle Mist, Autographed Books, Stirrups, Money, and Magazine Subscription.
- (3) Scavenger Hunt
- Sheri will do advertising.
- Bobbi will make poster and give to Sheri
- Juli will send email advertising the Scavenger Hunt.
- Anne will go to the Backcountry Horsmans meeting and plug our events.
- (4) General
- Attendees: Juli, Sheri, Suzan, Anne, Amy, Bobbi and Mark
- Amy found an insurance company that charges $200 for one event or 5 event days for $595.
Sheri moved to get the 5 day package, Anne seconded and all agreed. Potential events are:
- Spring Thaw Horse Show
- Parade
- Scavenger Hunt
- Two other TBD events
- Suzan will donate a breeding to a stallion of choice from her available stallions at the end of the summer for a draw at the end of the summer.
- It was decided to not send anyone to the Region 6 show.
- It was decided to not man a concession stand at the Governers Cup.
- Next meeting is set for June 5.
