Meeting Minutes


Attending: Ellen Taylor, Amy Palmer, Mark and Bobbi Walker, Juli Muscutt, Suzan Phillips
(1) Spring Thaw Horse Show
A discussion was held on what the final list of events should be.
It was noted that rule 17 needed to be changed (remove reference to L&C Fairgrounds)
Juli,Suzan, and Ellen will update the events list and provide a final list by the end of this weekend. Ellen will email the final documents to Mark by the end of the weekend. Mark and Bobbi will print class lists, Rules, entry forms, and wavers for the show. Mark will update the web site.
Ellen will submit an application for Paint Alternative Competition Event Approval.
Putting an ad in the Rocky Mountain Rider was discussed. The members decided not to.
Amy will try to arrange for a concession.
Amy will put an ad in the Adit for the Spring Thaw Horse Show, the used tack sale, and the silent auction.
The used tack should be dropped off at a TBA location by a TBA date before the the Spring Thaw Horse Show. Information on where, when and how to arrange drop off will be determined by Amy and included in the Adit ad.
Ellen will order ribbons this week.
A discussion was held on what to compensate the Judges with for the show.
Amy will ask Carol to do the announcing.
Amy is continuing to research insurance.
Bobbi will create a poster for the Spring Thaw Horse Show, used tack sale, and silent auction.
(2) Pioneer Cabin Trail Ride
Mark will set up an email box for the Pioneer Cabin Endurance Ride
Juli received a confirmation letter from AERC that had corrected information, however the web site was missing.
Juli will request the ride management software from the AERC
A discussion was held about taking pictures. It was decided that hiring a photographer was too expensive, however we would still like someone to take pictures.
A discussion ofhow to handle meals ensued. It was decided to keep the meal price separate from the entrance fees.
It was decided that the fees would be as follows:

25 Miles $50.00
50 Miles $75.00
75 Miles $120.00
Other Fees
$15 fee for non AERC members.
$10 for each meal ticket.
Two vets are confirmed. Need a third vet for a treatment vet.
It was decided to do a BBQ for meals. We can rent the BBQ from a rental company.
There was a discussion on completion awards. Juli and Suzan will look into possibility of picture frames.
Mark will send a greyed out Pioneer Cabin Endurance Ride banner to Juli.
Suzan will ask about tents for the ride.
(3) 501C3 Application
It was decided to hold off on the application until after the Spring Thaw Horse Show. There is some question of how much benefit the non profit status will provide VS how much it costs to apply.
(4) General
Amy will send email address list to Juli, Suzan and Mark
Mark will put links for each email box (with the responsible persons name) on the web site.
The draw date for the quilt raffle will be Sep 15 at the Pioneer Cabin Endurance Ride
Juli mentioned that the Back Country Trail Riders club is having a Hunters Gulch trail clean up on Apr 22. Thought it might be fun for some Tri-Arab club members to go and help out.
Amy will send an email to all Tri-Arab club members asking them if they would like to host a meeting in their home. We thought it would be good to get get out an visit with members in other locations.
Suzan will check if she can go to the AHA Region 6 regionals. She will also check for other people who may ge going and be willing to take an extra passenger.
Next two meetings are scheduled for Apr 24 and May 15 @ 6:30pm @ Ellens house.
